Job Details

An exciting new opportunity has arisen to work for an NHS organisation who are seeking to appoint an Interim Personal Assistant, for up to 3 months in the first instance.

The postholder will be a key member of the Executive office team and will provide direct support to the Executive Director.

The role will be remunerated under the NHSI Agency Caps at Band 5.

Key responsibilities will include:
  • Provide an efficient and comprehensive personal assistant and secretarial service to the specified Director;
  • Meeting preparation and minute taking;
  • Manage and maintain a complex schedule and electronic diary, making informed judgements based on understanding the competing demands of the Executive’s role and prioritising appointments and engagements appropriately;
  • Respond to all queries, correspondence, including sensitive information and telephone calls received in the office in a timely and professional manner. Initiate action where possible and report progress as appropriate;
  • Recognise the importance of confidentiality and sensitivity of issues and be able to act using the utmost discretion;
  • Deal with incoming and outgoing mail, routine correspondence, drafting replies where appropriate, linking with previous or related correspondence, obtaining further information as and when necessary, and initiating enquiries;
  • Provide temporary cover for other Directors’ Personal Assistants when necessary.
The ideal candidate will have:
  • Business Administration Diploma, Level 4 or equivalent;
  • Demonstrable experience of working as a Personal Assistant/Executive Assistant supporting Board members;
  • Experience of taking minutes;
  • Excellent organisation skills with the ability to deal with competing demands and high workloads;
  • Advanced software skills in the range of MS products and the ability to learn other packages, as required;
  • Excellent communication skills, both oral and written;
  • Understands the importance of confidentiality;
  • Experience within the NHS would be advantageous.
